Jombang Pesantren — Student Enrollment Up 40% via Website
A mid-sized Jombang pesantren swapped paper forms for online enrollment + a parents' landing page. Result: new-student registrations +40%, lighter admin load.
// the client's challenge
The situation before the project began
A mid-sized pesantren in Jombang with capacity for 600 students faced an increasingly competitive annual PSB (New Student Admissions) season. Many parents from out of town research a pesantren via Google before considering an in-person visit, but this pesantren only had a rarely-updated Facebook page and a paper enrollment form that had to be picked up in person at the office. Interested parents from Jakarta, Surabaya, or off the island struggled to get the information they needed: curriculum, fees, the admissions timeline, facilities, visit schedules. As a result, prospective students were lost to competing pesantrens that already had a website.
// our approach
What we worked on
/ step 01
A comprehensive pesantren profile with curriculum + activity photos
A multi-page site with navigation: Pesantren Profile, Curriculum (Diniyah, Madrasah Aliyah, Tahfidz), Facilities (photos of dorms, the mosque, library, labs), Teaching Staff (profiles of the kiai and senior ustadz with their academic backgrounds), Activity Gallery (a rotation of daily-activity photos), Fees & Scholarships, Parents' FAQ, and Contact. Tone: calm, trustworthy, no overpromising — in keeping with the communication style of a traditional pesantren.
/ step 02
Online enrollment system with document upload
A multi-step PSB form with uploads for the family card, birth certificate, report cards, and a photo. Submissions flow into a simple admin dashboard (via a Google Sheets integration) so the PSB committee can filter, sort, and contact prospective students without new software. After submitting, the applicant gets an automatic WhatsApp message with next-step info (interview, visit).
/ step 03
Article content for parents in the research phase
Five articles were written alongside the build to attract organic traffic from searches like "modern pesantren Jombang", "difference between salaf and modern pondok", "monthly boarding cost", "student daily schedule". The articles don't hard-sell — they focus on honestly answering parents' questions.
/ step 04
EducationalOrganization + LocalBusiness schema
Full schema markup with the area served (East Java + nationwide via PSB), awards/accreditation (where applicable), and the types of education offered. This helps Google understand that this entity is a specific pesantren, not a generic education page.
// measurable results
Results with honest baselines
Every metric below is reported with its baseline, result, and (where relevant) a note on the measurement period. Not a speculative claim.
| Metric | Before | After |
|---|---|---|
| PSB enrollment (annual period) | ~210 applicants | ~295 applicants (+40%) The first PSB period after the website went live. |
| Applicants from outside East Java | ~8% | ~24% Organic traffic opened access to parents in Greater Jakarta & Sumatra. |
| WhatsApp questions about basic info (fees, schedule) | ~40 messages/day at peak PSB | ~12 messages/day (the FAQ + landing page answer them directly) |
| Admin time per enrollment (data entry) | ~15 minutes (re-keying from paper) | ~2 minutes (verifying digital data) |
// client quote
“Our head teacher was worried at first that a website would make the pesantren feel too commercial. After seeing the results — especially the out-of-town parents who ended up visiting in person — he came around. What mattered was keeping the language respectful.”
// takeaway
Pesantrens have a unique challenge: they need to be modern in terms of access but traditional in tone. The website that succeeds in this sector isn't the flashy one, but the one that answers parents' questions honestly and directly — fees, facilities, schedule, curriculum — so the family's decision can be made faster and better informed.
